The Coaching PlannerUser guide
Open the app

Everything you need, one task at a time.

This guide follows the real order of work: register a client, agree the terms, plan the session, run it, write it up, and export your hours. Keep it open in this tab and the app in the other — each section names the exact buttons you are looking for.

Every screenshot here comes from a demo account. Jordan Alvarez, Priya Raman and Sam Okafor are sample clients, so nothing on this page is your client data.

The five-minute version

  1. Add a client. Only their name is required — the agreement and questionnaire steps can be skipped and picked up later.
  2. Open the client and choose Plan a session. Set the date, length and today's focus, then generate the outline.
  3. Edit the outline until it reads like your session, and save it.
  4. Run the session from the join button on your dashboard.
  5. Afterwards, write it up with Complete session log. If you recorded it, Session Evaluation will score the session against the ICF markers.
  6. Use Export Coaching Log (CSV) whenever you need your hours on record.
Orientation

Finding your way around

The app has four places: the dashboard, Clients, Sessions and Settings. On a phone they are the tabs along the bottom; on a laptop they are cards and header buttons. The dashboard is a summary, not a working screen — your counts of clients, planned sessions and hours coached sit at the top, with anything happening today underneath.

Step 01

Adding a client

Client profiles are the raw material for every session plan, so this is where to start. + New client on the Clients screen opens four short steps rather than one long form, and the client is created the moment you finish the first one — you can stop at any point and pick up the rest later from their page.

  1. Go to Clients and press + New client.
  2. Contact details. Name, email, phone and address. Only the name is required, but the email is what the questionnaire and agreement links are sent to, and the address is printed on the agreement.
  3. Agreement (optional). Set up the coaching agreement and send the signing link, or save it as a draft, or press Skip for now.
  4. Questionnaire (optional). Choose which questions this client gets, then create the intake link and copy or email it. Don't wait here for a reply — press Skip for now and carry on.
  5. Profile. DISC style, core values, strengths, the goal they are working towards and the outcome they want. Separate values and strengths with commas.

Skipping loses nothing. Anything still outstanding — no agreement, questionnaire not sent, answers not back, profile still empty — is listed under Next steps on the client's page with the button to do it, until you either do it or dismiss the note.

Editing a client later

Opening an existing client shows everything on one page instead of as steps, so you can correct a single field without walking through the wizard again.

Coming from a spreadsheet

Import CSV on the Clients screen adds many clients at once. Export CSV takes them all back out again.

Why DISC matters

Dominance, Influence, Steadiness or Conscientiousness shapes the tone and pacing of generated plans. Set it even if you are unsure and adjust later.

Step 02

Sending the coaching agreement

Fill in your practice details and standard terms once under Settings, and every agreement you create afterwards arrives prefilled — your details, the client's name and address, and their goal.

  1. Start the agreement at step 2 of adding a client, or later from the client's page.
  2. Set the program and terms: number of sessions, session length, fee, cancellation window and notice period.
  3. Review the document. The wording is standard ICF-based text; any clause can be edited or switched off.
  4. Send the signing link, or save it as a draft and send it when you are ready.
  5. The client signs in their browser. You get an email when they do, and the signed copy stays attached to the client.

Sent

Signed

Locked. If terms change, start a new agreement rather than editing this one.

The template is a sample form, not legal advice. Review your version with your own counsel before sending it to clients.
Step 03

The client questionnaire

One link per client, created either at step 3 of adding them or later from their page. It asks the DISC questions plus values, strengths and goals — the same fields you would otherwise type yourself. On Pro and Mentor you can also add questions of your own and choose which of them each client is asked.

  1. Open the client and create the questionnaire link.
  2. Under What goes in this questionnaire, tick any of your own questions this client should get, and untick the two optional sections if you don't want them. The DISC, values and strengths questions are always included — the profile is worked out from those exact answers, so they cannot be switched off. Preview it shows exactly what this client will see.
  3. Copy link to paste it into your own message, or Email it to send it from the app. If you already sent the agreement, the questionnaire link went out in that email too.
  4. Press Check for answers to see where they are up to. The link stays live until they submit.
  5. When the answers arrive, the DISC result, values, strengths and goal are copied onto the profile for you. Anything you had already typed is kept.
  6. Answers to your own questions appear with the rest of their results, and are copied into the client's notes — which is what puts them in front of the AI when it plans a session.
The client-facing questionnaire, showing DISC and values questions
The questionnaire as the client fills it in. Nothing here requires an account.
The questionnaire is never required. A profile you fill in yourself plans sessions just as well — so send the link, then get on with planning.

Your own questions

Written once in Settings → Question bank and reused. Nothing is sent to a client until you tick it for them, so a new client starts with the built-in questionnaire only. Six kinds of answer: long or short text, yes/no, choose one, choose any, and a 1–10 scale.

Changing your mind

You can add or remove questions after sending, and the client sees the change next time they open the link. An answer always keeps the question it was an answer to, so rewording or deleting a question in your bank never rewrites something a client has already told you. Once they submit, the questionnaire is fixed.

Step 04

Planning a session

A session is a date, a length, a type and an optional focus. Everything the client has told you is already attached to it, so the plan is built from their profile rather than from a blank page.

  1. Open the client and press Plan a session.
  2. Today's focus is optional. Leave it blank and the plan is inferred from the client's goal; add a line when this session needs a specific direction.
  3. Choose the type of coaching — Life, Executive, Business or Other. This appears in your exported coaching log.
  4. Choose the session length: 30, 45, 60 or 90 minutes. The outline is timed to fit it.
  5. Set date & time, and paste a meeting link if you already have one.
  6. Press Generate plan to build the outline, or Save session to keep the slot and plan it later.

Step 05

Working with the outline

The generated outline follows a five-phase structure, with timings that add up to the length you chose. Treat it as a draft written by an assistant who has read the profile: useful, and yours to change.

PhaseWhat it covers
ConnectionOpen the space and settle the client.
OutcomeAgree what this session must produce.
DiscoverExplore, with suggested tools and questions.
ActionCommit to what happens next.
ProgressClose, and check progress against the goal.
  1. Read it through. Press Edit outline to change phase names, timings, discovery tools, focus areas or blockers.
  2. Not the right angle? Regenerate plan writes a fresh outline from the same profile and focus.
  3. Press Save session. Saved sessions appear on the client's page and in Sessions.

A generic-feeling plan almost always means a thin profile. Add core values, strengths and a sharper goal, then regenerate — the difference is immediate.
Step 06

Meeting links

Sessions carry the video link, so you are not hunting for it on the day.

  1. On the session, pick a meeting platform — Google Meet, Zoom or Teams. It opens that platform with the session details prefilled.
  2. Paste the link you get back into Meeting link so it can be opened from inside the app.
  3. At session time, the join button appears on the dashboard and in Sessions.

Step 07

Managing sessions

The Sessions screen holds every session across every client, grouped as in progress now, upcoming and past. It is the screen to work from on a normal day.

Each session shows the one action you are most likely to want, and keeps the rest behind the ··· button. What is on offer depends on whether the session has happened yet.

The session log and the Session Evaluation are two different things, and both are worth doing. The log is your own reflection, in your words, and it is what your exported coaching log is built from. The evaluation is the app scoring the session against the ICF markers from what was actually said.
Clicking the client's name on any session card jumps to their profile, which is usually where you want to be before the call.
Step 08

Editing session details

Sessions move. Everything you set when planning stays editable, whether the session is still upcoming or already happened.

  1. Find the session in Sessions, or on the client's page, and press Edit session.
  2. Change what you need: date and time, session length, type of coaching, today's focus, meeting link, meeting platform.
  3. Recording links are added on the session card itself rather than here — expand the session and use Add link under Recordings. A session can hold several.
  4. Press Save session. The outline is left as it is unless you regenerate it.
Once a session log has been saved, the session's details are locked and Edit session disappears — the log is treated as a record of what happened. Corrections go in the log itself, which stays editable.
Changing the length after generating an outline does not re-time the outline. Regenerate if the timings need to match the new length.
Step 09

The session log

The log is your write-up of what happened, and it is what fills your exported coaching log. Doing it the same day is the difference between a usable record and a guess.

  1. Press Complete session log on the session.
  2. Fill in what applies. Nothing is mandatory, but empty fields export as empty cells.
  3. Press Save session log. The session is then marked as reflected.

Step 10

Session Evaluation

Session Evaluation scores a session you have run against the ICF PCC Markers — all 37 of them — from what was actually said in the room. It is built for your own development. It is a practice estimate, not an official ICF assessment.

Getting the session in

Press Session Evaluation on a past session. There are three ways to give it the session, and you only need one.

  1. Upload the recording. Pick the video or audio file straight off your computer — .mp4, .m4a, .mov, .mp3 and similar. The app reads the audio out of it on your own device, which takes seconds, then transcribes it and works out who was speaking.
  2. Upload a transcript. If your meeting platform already gave you one, a .txt or .vtt file goes straight in and skips transcription entirely.
  3. Paste a link. This has to be a link to the recording file. A Zoom or Google Meet share page asks whoever opens it to sign in, so the app cannot read it — use the download link, or download the recording and upload it.
Nothing is kept. A recording is processed on your device, sent for transcription, and discarded — neither the app nor the transcription service stores it. The transcript is used to produce your report and is not saved either. That means a report cannot be re-run later: to score the same session again, upload the file again.
Very long recordings are limited by what your browser can handle rather than by the app. If a file is refused, Zoom's audio-only (M4A) download is much smaller and works well — or use the transcript.

Reading the report

The report opens with the details of the session — you, the coachee, the date and length, the session topic, when it was reviewed and what it was built from — then the score.

On the reportWhat it means
The number in the ringA score out of 100. Every marker is scored 0–3, and the total is expressed as a percentage of the maximum.
Markers demonstratedHow many of the 37 markers were clearly evidenced — scored 2 or 3 — in this session.
Coach / coachee splitHow much of the talking was yours. Worth watching over several sessions rather than one.
What worked / Where to growThe short version, if you read nothing else.
Competencies at a glanceThe six ICF competencies the markers sit under, scored 0–3 each.
Marker by markerPress View detailed report for every marker with its score, a quote from the session as evidence, and a note. It becomes Hide detailed report once open.

Press Save as PDF to keep a copy. Your browser's print window opens — choose Save as PDF as the destination instead of a printer. The PDF always contains the full marker detail, whether or not it is expanded on screen.

Past evaluations for a session stay listed on the Session Evaluation screen, so you can compare a session against an earlier one.
If the transcript only shows one speaker, the report says so. Coach and coachee scores depend on knowing who said what, so treat those numbers with suspicion when you see that warning.

What it costs

Session Evaluation is part of the Mentor plan, which includes ten evaluations a month. Every plan — free and trial included — gets one free evaluation, so you can run it on a real session of your own before deciding whether it earns its place.

If you reach the monthly ten, the allowance recovers as your earlier evaluations pass thirty days; nothing else about your plan changes and your transcripts stay where they are.

Step 11

Exporting your coaching log

One button produces the whole log: every session, every client, in date order, with your details in the header and your total coaching minutes at the bottom. It is built for submitting accreditation hours.

  1. Open Sessions and press Export Coaching Log (CSV). The same button also sits in Settings under Subscription.
  2. A file called Coaching Log.csv downloads. Open it in Excel, Numbers or Google Sheets.
  3. Check the header block: coach name, email and batch or cohort come from your settings, so keep those accurate.

The file has one row per session and sixteen columns: session number, client name and email, session date, start and end time, duration in minutes, type of coaching, coaching assignment in brief, agreement or outcome finalised, result achieved, tools and techniques adopted, lessons learnt by coach, what could have been done better, coachee feedback, and coach competency development plan. The last row is your grand total of coaching minutes.

Where a session log is empty, the export falls back to what it does know — the session focus or the client's goal, and the client's stated outcome — so a log exported before you write anything up is thin but never blank.

Clients can also be exported on their own: Export CSV on the Clients screen writes out names, contact details, DISC, values, strengths, goals and sessions, which is the file Import CSV reads back in.

Reference

Refer a coach

Every account has a referral link. For every two coaches who sign up through it and subscribe, a month of your own subscription is free. Open it from Settings → Refer a coach.

  1. Share the link. Copy link puts it on your clipboard; Email it opens a prefilled message. The link is your code with ?ref= on the end, so anyone who opens it has the code filled in for them at signup. You can also read the code out and they can type it into the Referral code field on the signup form.
  2. They join. Anyone who creates an account from your link appears under Coaches you brought, whether or not they have subscribed yet. Joined counts them.
  3. They subscribe. When one of them starts paying, Subscribed goes up and your Credit moves to 1 / 2. Free plans do not count.
  4. The second subscriber earns the month. Credit resets to 0 / 2 and Free months goes up by one. Months are counted as you earn them, including while you are on trial or between subscriptions.
  5. Add a code afterwards. If a coach gave you a code after you had already signed up, the Were you referred by a coach? box in the same section credits them, as long as you have not subscribed yet.

How the month is paid out

Your access simply runs a month past the period you pay for, and stays a month ahead on every renewal. Nothing about the invoice changes — the provider still charges on its own schedule. If you ever stop subscribing, the earned months run on from the end of the period you last paid for, so you keep them.

Nothing to claim

There is no code to redeem and no invoice to chase. The balance and the dates in Settings update on their own once the payment clears.

What the referred coach gets

Nothing extra — the same trial and the same prices as anyone else. The reward is yours.

Troubleshooting

If something looks wrong

A coach signed up through my link but my credit has not moved.

Credit moves when they subscribe, not when they join. Until then they show under Coaches you brought with no date against them. If they have paid and the count is still behind, give it a few minutes — it updates when the payment clears — then reload Settings.

I earned a free month but my card was still charged.

That is how it works. The month is added to your access rather than taken off an invoice: your subscription runs a month past the period you paid for, and stays a month ahead on every renewal. If you cancel, the earned months carry on from the end of the period you last paid for.

The generated plan feels generic.

The profile is usually thin. Add core values, strengths and a sharper goal, then press Regenerate plan. The DISC style matters too — it sets the tone and pacing.

My client's questionnaire answers are not showing.

Press Check for answers again. The link stays live until they submit, and nothing appears until they finish the whole thing.

My own questions aren't in the client's questionnaire.

They are opt-in per client. Open the client, find What goes in this questionnaire and tick the ones you want; Preview it confirms what they will see. If the whole section is missing, either the client has already submitted, or your plan doesn't include the question bank.

Edit session has disappeared from a session.

A session log has been saved against it, which locks the details. Edit the log instead, or delete the session and plan it again if the details were wrong.
